The brief

A global IT services company sponsoring a major enterprise technology conference wanted a booth giveaway that attendees would personalize, keep and use: a sunglass case printed with their own initials over one of three brand designs.

The challenge was volume. Conference traffic arrives in waves between sessions, and the booth had to handle thousands of guests over two days without a line taking over the space. Every case had to come out on brand, because the designs carried the sponsor's own artwork and typography.

What we built

Cases arrived blank and were printed on site, so a single pool of 3,000 blanks covered every design. Nothing was pre-made, and no design could run out before another.

Guest experience flow:

  1. Guest picks one of three brand designs at an iPad station: Bars, Speckle or Swirl
  2. Types up to three initials
  3. Sees a live preview of the finished case and submits
  4. Optionally adds a mobile number for text updates, then goes back to the conference
  5. The case is printed and pressed on site
  6. Guest collects it at the booth

The tech

  • Designer: a custom iPad app with a live case preview, using the three brand designs as templates with an initials area set into each
  • Brand control: guests chose only from approved designs and entered only initials, with no free text and no uploads, so every case came out on brand automatically
  • Artwork on demand: print files are generated from the design and the initials at print time, so no guest artwork needs storing
  • Offline-first: stations keep taking orders if the network drops and sync when it returns. That happened at this event: 7 orders were taken offline and none were lost.
  • Notifications: up to three texts per guest who opted in: order received, case ready, and a pickup reminder

The numbers

2,058 cases in about 18 hours over two days. Day one ran about 8 hours (755 cases) and day two about 9.5 hours (1,303 cases).

192 cases in the peak hour. Day two's busiest hours ran 192, 184, 174 and 157 cases. Five design stations handled the load, four of them about 500 orders each.

99.9% of guests who started a design ordered one. 2,061 guests opened the designer and 2,058 placed an order. With three choices and three initials, there was almost nothing to abandon.

68% of cases were one of a kind. 1,396 of 2,058 cases had a design-and-initials combination nobody else chose, even with only three designs to pick from.

What guests chose:

DesignCases
Bars899 (44%)
Speckle593 (29%)
Swirl566 (27%)

Most guests used all three initials: 64% used three letters and 36% used two.

2,405 texts sent. 822 guests (40%) opted in to updates. Each got an order confirmation, a ready alert and a pickup reminder. Texts went out successfully to 97.6% of numbers; the rest failed to send after retries.

Stock planning held. The activation used 2,058 of the 3,000 blank cases, leaving a 31% buffer. No design ever ran short, because every design came from the same pool of blanks.

What we'd do differently

  • Scan every case as it comes off the press. Cases were marked ready in batches rather than one at a time, so we can't report true per-case production time from this event. Individual scans would show exactly where the line slowed down.
  • Scan pickups too. Pickups weren't scanned, so we know every case was made but not when each guest collected theirs.
  • Clear the day-one queue before the next morning. About 220 of day one's 755 orders were logged as ready on day two. Whether they were finished the next morning or marked late, per-case scanning would show which, and tell us whether day one needed more press capacity in the evening rush.
  • Push text opt-in harder. Only 40% of guests added a number. Texted guests can come back when the case is ready instead of waiting at the booth.

The four commitments: did we hit them?

This was a template-and-initials personalization activation, not an AI-generated one, so two commitments apply differently:

CommitmentResult
Every guest gets a one-of-onePartly: 68% of cases had a combination no one else chose; the rest shared initials and design
Generation under 30 secondsNot applicable: designs were preset templates, previewed instantly
Brand safety as a system✓ Approved brand designs plus initials only, so nothing off-brand could be printed
Activation returns data✓ 2,058 orders, design preferences, 822 SMS opt-ins
