How much does live event printing cost?
Short answer
Most live event printing activations cost $3,000 to $25,000. A half-day pop-up with one product and up to 150 items runs $3,000–$5,000. A full day with an AI design kiosk and up to 300 items runs $5,000–$10,000. Full-production and two-day programs run $10,000–$25,000, and multi-day or multi-city campaigns start at $25,000. Travel and lodging are itemized at cost.
Live printing prices by package
These are our published packages. Most live printing vendors only quote on request.
Cost per item
Dividing each package by the items it includes gives the effective cost per finished piece. These are estimates from our published ranges; your quote depends on the product mix.
- Bronze$3,000–$5,000 ÷ up to 150 itemsabout $20–$33 per item
- Silver$5,000–$10,000 ÷ up to 300 itemsabout $17–$33 per item
- Gold$10,000–$25,000 ÷ 500+ itemsabout $20–$50 per item, less at higher volume
For context, a custom event tee often retails for $25–$45. With live printing, every guest leaves with a piece made in front of them, and from Silver up, one they designed themselves with AI.
What drives the price
Hours on site
A four-hour pop-up and a two-day convention program use the same equipment but very different crew time. Hours are the biggest single lever.
Number of items
Each package includes a base allowance of finished items. Volume above it is billed at cost-plus, so a busy event costs more in blanks, not in setup.
Products and methods
One product and one method is the simplest build. Mixing tees, totes and hats, or adding embroidery or laser engraving, adds equipment and operators.
AI features
The live AI design kiosk starts at Silver. A custom AI model trained on your brand's look (typography, palette, style) is included from Gold up.
Crew size
Higher traffic needs more stations and operators to keep the line short. Bronze runs with one operator; Gold runs with three or four plus a lead designer.
Travel and timing
Travel, lodging and freight are itemized at cost. Rush bookings inside about a week are possible but cost more and allow less customization.
What the price includes
- Setup and full breakdown
- All printing, pressing or engraving equipment
- Operators who run the station end to end
- A base allowance of blanks and finished items
- AI usage (design kiosk from Silver, brand-trained model from Gold)
What's billed separately
- Travel, lodging and freight (itemized at cost)
- Items beyond the package's base allowance (cost-plus)
- Venue charges such as booth power and show labor, ordered through the venue
How this compares to other event options
Basic live screen printing (one preset design, a few hours, shirts usually extra) is commonly quoted from around $750 to $1,300 by smaller vendors. AI photo booths typically rent for about $1,000 to $2,500 per event, and guests leave with a photo, not a product. Live printing with AI design costs more than either, because it combines both: a guest-designed piece of artwork and a physical product made on site.
AI photo booth vs. AI merch activationHow to spend less
- Pick one hero product and one method instead of a full mix.
- Run the station during peak hours only, not the whole show.
- Let guests pay per item at consumer events. Brands often cover the fee, but we can take payments on site.
- Book 4–6 weeks ahead to avoid rush pricing.
Live event printing cost: FAQ
How much does live event printing cost?
Most live event printing activations cost $3,000 to $25,000. A half-day pop-up with one product and up to 150 items runs $3,000–$5,000. A full day with an AI design kiosk and up to 300 items runs $5,000–$10,000. Full-production and two-day programs run $10,000–$25,000, and multi-day or multi-city campaigns start at $25,000. What does a live printed shirt cost per guest?
Divide the package price by the items it includes. On our published tiers that works out to roughly $17–$50 per finished item, falling as volume rises. For comparison, a custom event tee often retails for $25–$45.
Are the shirts and blanks included?
Each package includes a base allowance of blanks and finished items. Items beyond that allowance are billed at cost-plus.
Do you charge by the hour?
We price by package (hours on site, item count, products and features) rather than an open hourly rate, so the quote is fixed before the event.
How far ahead should we book to get standard pricing?
Four to six weeks is ideal. It leaves time to train the brand AI model, prepare templates and plan logistics. Rush bookings around a week out are possible at a higher price.
Is travel included?
Travel, lodging and freight are itemized at cost, so you see exactly what they add.
